Privacy policy

This explains what information Furcation and the kennels and catteries on Furcation collect about you and your pets, why, and your rights. We only collect what is needed to book and care for your pet safely.
1. Who is responsible for your data
Furcation is operated by Furcation, Derby, United Kingdom. For privacy questions, email admin@furcation.co.uk.
When you book a kennel or cattery, that kennel is the controller of the information it needs to look after your pet and manage your booking. Furcation stores that information for the kennel as its processor.
Furcation is the controller of your Furcation account, your searches and how you use our website.
2. What we collect
- About you: name, email, phone number, postcode, emergency contact, and any notes you add.
- About your pets: name, species, breed, size, age, sex, feeding, medication, health and behaviour notes, vet details, and vaccination, flea and worming records, including any certificates you upload.
- About your bookings: dates, kennel, accommodation, prices, payments, refunds and messages.
- Payments: Stripe processes your card. We receive confirmation of the payment, never your card number.
- For kennel staff: name, email, login activity and the actions taken in the dashboard (an audit log).
- Technical: basic logs of requests to our website (such as IP address and browser) kept for security and to fix faults.
3. How we use it, and our legal basis
- To make, manage and take payment for your booking, and send confirmations and reminders: performance of a contract.
- To give the kennel the information it needs to care for your pet safely: performance of a contract, and the kennel's legal obligations under its animal activity licence.
- To keep records the law requires, such as financial records and the kennel's boarding register: legal obligation.
- To keep Furcation secure, prevent fraud and improve the service: our legitimate interests.
- To send offers from a kennel, only if you tick the box: consent. You can unsubscribe at any time.
Information about your pet's health is not special category data under UK GDPR, because it is about an animal. We still treat it with care.
4. Who we share it with
With the kennel or cattery you book, and only that kennel. No other kennel can see your details.
With service providers who help us run Furcation, under contracts that require them to protect it:
- Vercel (website hosting)
- Turso (database)
- Stripe (card payments)
- Resend (sending emails)
We never sell your data. We may share information if the law requires it, for example with the police or a local authority investigating animal welfare.
5. Where it is stored
Your data is stored by our providers in the UK, the European Economic Area or the United States. Where it leaves the UK, it is protected by UK adequacy regulations or the UK International Data Transfer Addendum.
6. How long we keep it
- Booking and payment records: 6 years after the stay, to meet tax and legal requirements.
- Customer and pet details: for as long as the kennel needs them to provide its service, normally while you remain its customer, and deleted when the kennel closes its Furcation account (90 days later).
- Furcation account: until you ask us to close it.
- Server logs: up to 30 days.
7. Your rights
You can ask for a copy of your data, ask us to correct or delete it, object to how it is used, or ask us to restrict it. You can withdraw consent to marketing at any time.
For information held by a kennel, you can contact the kennel directly, or email admin@furcation.co.uk and we will pass your request on and help the kennel respond. We reply within one month.
If you are unhappy with how your data has been handled, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
8. Security
Data is encrypted in transit. Passwords are hashed and never stored in plain text. Each kennel's data is kept separate and checked on every request. Staff actions are logged. If a breach ever affects your data and puts you at risk, we will tell you.
9. Cookies
We only use cookies needed to keep you signed in. See our cookie notice for details.
10. Changes
We will update this page if how we use data changes, and tell you by email if the change is significant.
